Outlook Setup

Use this page to set up COG Mail in Outlook. New Outlook for Windows may require extra steps. Classic Outlook is the most reliable Outlook option for manual IMAP setup.

Recommended First Choice

For the smoothest COG Mail experience, we recommend Thunderbird, COG Mail Workspace, or the iPhone / iPad setup profile. These options work better with mail, calendar, and contacts.

Outlook can still be used for email, but New Outlook for Windows may require extra manual steps. If you are set on using Outlook, follow the instructions below.

Important: New Outlook for Windows

New Outlook may ask you to select a provider such as Microsoft 365, Outlook.com, Gmail, Yahoo, or iCloud. COG Mail is not Microsoft 365. If your mailbox is hosted by COG Mail, do not choose Microsoft 365 unless your mailbox was actually moved to Microsoft 365.

If New Outlook asks for a provider, look for IMAP, Other, or Advanced setup. If New Outlook refuses the account, use Classic Outlook, Thunderbird, Apple Mail, iPhone/iPad profile setup, or COG Mail Workspace.

Recommended Outlook Path

  1. Open Outlook.
  2. Enter your full COG Mail email address.
  3. If prompted for provider, choose IMAP or Other.
  4. Use cogmail.tech for incoming and outgoing mail servers.
  5. Use your full email address as the username.

Outlook can be used for mail. For the best mail, calendar, and contacts experience, use:

Use your full email address, for example: user@example.com

Classic Outlook Instructions

  1. Open Classic Outlook.
  2. Go to File.
  3. Select Add Account.
  4. Enter your COG Mail email address.
  5. Choose Advanced options.
  6. Check Let me set up my account manually.
  7. Select IMAP.
  8. Enter the incoming and outgoing settings shown above.

New Outlook Instructions

  1. Open New Outlook.
  2. Add account.
  3. Enter your COG Mail email address.
  4. If Outlook asks you to select an email provider, scroll and choose IMAP, Other, or Advanced setup.
  5. If Outlook offers only Microsoft 365, Outlook.com, Gmail, Yahoo, or iCloud, do not choose Microsoft 365 unless the mailbox is actually hosted by Microsoft.
  6. If New Outlook fails with a generic troubleshooting message, use Classic Outlook or COG Mail Workspace.

Known New Outlook Limitation

New Outlook for Windows may route third-party IMAP setup through Microsoft's cloud service. If that cloud setup fails, the issue may occur before Outlook reaches the COG Mail server.

COG Mail can provide correct IMAP, SMTP, DNS, Autodiscover, and ActiveSync endpoints, but New Outlook may still reject or mishandle some custom-domain IMAP accounts.
